AV system design and estimating: getting the numbers right
An estimate is a promise about the future written before you have all the facts. The tools you use decide how often that promise survives contact with the jobsite.

Every under-quoted job traces back to the same three places: a companion part nobody listed, labor hours that didn't match the work, or electrical scope treated as somebody else's problem. Good AV system design and estimating software doesn't make you a better estimator — it makes those three mistakes harder to make.
The missing-part problem
A display gets specced. The mount, the cable, the bracket, the surge protection — those are the parts that get forgotten, and they're the ones that turn a profitable job into a break-even one after you eat the cost. Combo logic that recommends companion products based on what's already in the bid catches the missing wire or mount before the customer does. It's not glamorous, but it's where estimating accuracy actually lives.
Labor that matches the work
The second leak is labor. Estimators tend to anchor on parts cost and treat labor as a percentage, which works until it doesn't — a rack build in a finished space isn't the same hours as the same rack in new construction. A labor sanity check that flags rooms where the hours look off for the items selected won't set your rates for you, but it turns "I forgot to bump the labor on the theater" into a caught mistake instead of a margin surprise.
Design starts on the plan, not the spreadsheet
The estimate should begin where the job begins: the plan. Dropping markers on a PDF, drawing room polygons, and letting the software count devices per room means your quantities come from the drawing, not from a mental tally you transcribe into a grid. When the plan is revised, you re-count from the source instead of hoping you caught every change. Then those counts convert straight into draft line items — plan to priced bid in two clicks. Electrical is not an afterthought
Modern AV drags real electrical work behind it, and treating it as "the electrician's problem" is how service sizing gets wrong. Software that builds in NEC Article 220 load calculations — demand-factor tiers, heating and cooling worst-case — plus panel schedules and three-phase balance analysis keeps the electrical design inside the same bid as the AV design. Catching an unbalanced panel or an undersized service at estimate time is a spreadsheet you never have to build and a change order you never have to explain.
Design fields belong on the product, not in your head
Lumens, color temperature, CRI, beam angle, amp rating, UL listing, wire gauge, wire run length — for lighting and electrical design, these aren't nice-to-haves, they're the inputs to the design. When they live as structured fields on every product in your catalog, the estimate can reason about them. When they live in a rep's memory, they leave when the rep does.
The estimate is a team document
On any job bigger than a single room, more than one person touches the estimate — a lead estimator, a specialist for the control system, someone pricing the rack. If the tool can't handle two people in the same bid safely, the "design" phase becomes a series of emailed spreadsheet versions with numbers in the subject line. Getting the estimate right is half the job; the other half is turning it into something a customer signs. The estimate and the proposal should never be two different numbers.
